- Provide timelines to all listed vendors.
- One day of errand available. (Breakfast, pick up order such as florals ect)
- Have a special bag ready for the photographer to grab for pictures (goodie bag) of the shoes, rings, invites, jewelry and all other wanted items.
- Do an overview of the day with the DJ prior to the ceremony/reception.
- Keep venue, DJ, photographer, caterer ect on track.
- Manage vendor and décor setup at ceremony and reception sites.
- Organize and distribute all personal flowers to wedding party, family members and special guests.
- Facilitate the wedding ceremony.
- Provide a private area for the bride and groom to go after the ceremony for 5 minutes to enjoy alone before pictures.
- Organize your family photo list in four groups (each bride & groom’s parent’s sides) and start with biggest group shot first to and help the photographer filter down.
- Any last-minute decorating/fine tuning needed including lighting candles, ect.
- Moving flowers/décor from ceremony to reception. (At same location)
- Coordinate entertainment and all announcements/events during reception.
- Ensure payment of vendor tips and balances.
- Make sure assigned people in charge of getting cards/gifts go to the proper place afterwards to secure them
- Additional tasks can be provided when approved and prior to wedding.
- Coordinator present for all vendor meetings with the clients.

- Set up and take down tasks include linens, centerpieces, table numbers, flowers, signs, signage, programs, arch, backdrop, fans, guestbook, unity candle/sand, something to toss, cake/cupcake stands, card box, ect. (All room décor)
- Set up for tables and chairs is an additional $3.00 per table which include the chairs around it and $1.00 per chair for ceremony.
- Take down of items will be all gathered up in boxes/tubs provided by Client and Client will be responsible for picking up all items gathered up. (*Megan Dain Weddings and Events is not responsible for returning any items or taking them off location of venue)
- Additional tasks must be arranged prior to wedding.
- ***Not in charge or responsible for any food or drinks left and if they are left then those tables will be left as is for the Client. (This includes bar, cake table, drinks, snack stands/table, and food tables)
- Initial design consultation to determine the overall look and color scheme.
- Assisting the Clients in choosing wedding decorations from Coordinator’s inventory.
- Flat-fee pricing is determined based on information provided in the initial consultation; significant increases or decreases in guest numbers, pieces needed, paper/embellishment choices, etc., may result in additional fees.
- NOTE: Additional cost for cleaning of all rental items such as washing/ironing of linens as well as cleaning supplies. Linens will be ironed but fold linens will occur since not professionally steamed.
