
This is for clients who want to enjoy the event, have busy schedules, demanding jobs, want everything to stay on schedule during the event, manage vendors, handle unexpected problems, and have a main point of contact.
¨ Initial design consultation to determine the overall look and color scheme.
¨ Assisting the Clients in choosing event decorations from Coordinator’s inventory or decorations from location of venue if provided.
¨ Flat-fee pricing is determined based on information provided in the initial consultation; significant increases or decreases in guest numbers, pieces needed, paper/embellishment choices, etc., may result in additional fees.
- Initial consultation to explain the planning and coordination process.
- Unlimited email communication from date of contract.
- Advise on how to personalize your event and how to stay within your budget.
- Thirty days prior to the event, all vendors listed on the contract will be contacted to verify details of their services and the week of the event.
- Contact all vendors listed on the contract to finalize any payment due one week prior to the event.
- Includes all meetings with involved vendors, walk through with vendors and final walk through the week of the event.
- Includes all travel cost with meeting local vendors and any expenses with the coordinator within person meetings with all involved vendors for the event.
- Includes all hours involved by the coordinator to plan the event such as all prior details and duties to the event and the day of the event duties and being present.
- Organize Event rehearsal, if necessary.
- Develop and distribute Event Itinerary to be given to members of the Event party at the rehearsal, if necessary.
- Up to three (3) hours of service on your Event Day. For each additional hour needed for the event it is an additional cost and if the client requests prior hours to the time of the event for the coordinator to be present then that falls in the additional hours needed. (Example: if the event was two hours (2) long then the coordinator arriving one hour (1) prior to the event to be present for coordinating all duties before the event start time would be included in total cost. However, if the event was three hours (3) long then the client would need to add one hour (1) to the “Event Day” package when booking.
- Manage event vendors per your instructions; available in person and by telephone during the entire event day to assist vendors with any problems or questions.
- Manage Event party.
- Facilitate the Event.
- Set up and break down table numbers/names, place cards, favors, toasting glass and serving set per your instruction.
- Coordinate entertainment and all announcements/events during Event.
- Ensure payment of vendor tips and balances.
- Contact all vendors involved the week of the event to ensure proper information and all details are correct for the event.
- Local area arrands/pickups can be added to your “Event Day” Package of having the coordinator pickup and then getting to the event site prior to the start time. (This is not included and must be added prior to the event) this add on fee is per hour for arrands/pickups).
